Register Your Site
Two ways to register: online by yourself, or with help from someone who has a phone or computer.
Every GVF site is registered once, before its first harvest record. Registration takes about two minutes and gives the site its own GVF Site ID (for example GVF-ETH-007), sent by email. The Site ID goes on every SVH-1 record for that site. A farm with several hedges needs only one registration: the farmer fills in one SVH-1 for each hedge under the same Site ID.
Choose how to register
- Open the Registration form. Choose your language from the menu at the top.
- Answer the questions and tap Submit.
- Your GVF Site ID arrives by email within a few minutes. Write it down.
- Fill in the paper Registration form in your language, or answer the questions while a helper writes.
- Give the form to your GVF coordinator, a community leader, an extension worker, a neighbor or a family member. They send it online for you.
- The helper writes your GVF Site ID on the form and gives it back to you. Keep it safe.
For helpers: registering on behalf of others
GVF coordinators, community leaders, extension workers, neighbors and family members are welcome to register sites and send records for farmers who cannot do it themselves. One email address can register as many sites as needed: each site gets its own Site ID.
- R01 Email address: use the farmer’s email if they have one; otherwise use your own. The Site ID is sent there.
- R02 Your name: enter the farmer’s name (the site owner), not your own. This keeps each site linked to the right person.
- R08 You are: choose the farmer’s role, usually Farmer. Put your own name or organization in R11.
- R13 to R15 (consent): read these questions to the farmer and record their answers. It is their information and their photos. The paper form has a place for the farmer’s signature or mark.
- Keep a list of which Site ID belongs to which farmer: the emails all look alike. Write each Site ID on the farmer’s paper form and give it back to them.
- At harvest, you can also send the farmer’s SVH-1 records using their Site ID. See Helping at Harvest.
Download the paper Registration form
The paper form has the same questions and numbers (R01 to R15) as the online form, so it can be copied straight into it. Print it on A4 or Letter paper: one form for each site. There is a box at the end for the helper to write the Site ID. All 16 forms are also in the GVF paper forms folder on Google Drive.
After registering
Look after your vetiver as the farm model guides explain. At harvest, fill in one SVH-1 record for each hedge or plant, with your Site ID. Forms can be sent from a phone, computer or the KoboCollect app: see Forms and App.
Questions: write to [email protected] or ask your GVF coordinator.
