How to Use the GVF Forms

On any phone or computer, with the free KoboCollect app, or on paper.

GVF records are sent with four short online forms. You can fill them in in the web browser of any phone or computer, or with the free KoboCollect app on an Android phone. Both send to the same place, and both work without a signal: records wait on the phone and are sent when the signal returns. Choose your language from the menu at the top of any form.

The four GVF forms

GVF Site Registration
Everyone, once per site, before your first record. Your GVF Site ID arrives by email within a few minutes.

Open

SVH-1 Core Record
Every site: one form for each hedge or plant, at harvest.

Open

SVH-2 Add-on
Coordinators and research partners at selected sites, for extra measurements and samples.

Open

GVF Photo Upload
Anyone: extra photos, for example ones taken after SVH-1 was sent. One photo per entry.

Open

Web form or app?

Web form (any phone or computer)
Best for farmers sending a few records. Works on Android phones, iPhones and computers. Nothing to install: just open the link.
KoboCollect app (Android phones)
Best for coordinators, research teams and anyone sending many records or working for days without a signal. Records GPS and photos easily and keeps records safe on the phone until they are sent.

Using the web form

1
Open the form link. Save it as a bookmark, or add it to your home screen, so you can find it again.
2
Choose your language from the menu at the top of the form.
3
Answer the questions and tap Next to go to the next page. Questions with a red star (*) must be answered; leave others blank if they do not apply.
4
Map (GPS) questions are optional. To move past the map, swipe on the edge of the screen, not on the map. To record your location, tap the target icon and allow location.
5
Photos: tap the photo button and choose Camera or Gallery.
6
On the last page, enter your email and your GVF Site ID (with or without dashes, for example GVF-ETH-007 or GVFETH007), then tap Submit. No Site ID yet? The last page has a link to register (2 minutes).

No signal?

Open the form link once while you have a signal; after that it also opens without one. When you submit without a signal, the record is kept on the phone and sent by itself when the signal returns. To finish a form later, use Save Draft at the bottom, then open the same link on the same phone.

Important: while records are waiting, do not clear your browser history or data, and do not use private (incognito) mode, or the waiting records will be lost.

Using the KoboCollect app (Android)

Set up once (5 minutes)
1
Install KoboCollect (free) from the Google Play Store.
2
Open the app and choose Manually enter project details.
3
In Server URL, enter https://kc.kobotoolbox.org/tvnigvf. Leave Username and Password blank, and tap Add project.
4
Tap Download form, tick the GVF forms you need, and tap Get selected.
Fill in a form
1
Tap Start new form and choose the form. To change language: ⋮ menu, then Change language.
2
Swipe left, or tap Next, to move through the questions.
3
At the end, tap Finalize, or Save as draft to finish later (find it under Drafts).
Send your records
1
When you have a signal, tap Ready to send, then Select all, then Send. Sent records move to Sent.
2
To send automatically: ⋮ menu, then Settings, Project settings, Form management, Auto send; choose Wi-Fi or cellular data.
3
Before you delete the app or change phones, check that Ready to send is empty.

New versions: when TVNI updates a form, tap Download form again and get the new version before filling in more records. Photos taken in the app stay inside the app and are sent with the record; they do not appear in your phone’s gallery.

Tips for good records

•On your first SVH-1 for a site, answer Yes to “first SVH-1 for this site?” so the site details are recorded once.
•Fill in one SVH-1 for each hedge or plant.
•Take photos in daylight, holding the phone sideways.
•Send each record only once. If you find a mistake after sending, write to [email protected] with your Site ID and what to correct.

Questions: [email protected] or the #GVF WhatsApp group. Back to the GVF page.
