Correcting a GVF Record
What to do if you make a mistake on the Registration, SVH-1, SVH-2 or Photo Upload form, and how to send forms without the KoboCollect app.
1. Before you send: you can change anything
Tip: check your Site ID, harvest numbers and units on the last page before you send. Most mistakes are found there.
2. After you send: write to TVNI
Once a record has been sent, it cannot be changed or deleted from your phone, computer or the KoboCollect app. Only TVNI can correct it. Please do not send the form again as a correction, because that creates a second copy of the same record.
Write to [email protected], or ask your GVF coordinator to write, with:
- Your GVF Site ID (for example, GVF-ETH-007).
- Which form: Registration, SVH-1, SVH-2 or Photo Upload.
- The date you sent it and, for SVH-1, which hedge or plant.
- What is wrong and what the correct answer is.
TVNI will make the correction and reply to confirm.
3. If KoboCollect will not install, use the web forms
KoboCollect works only on Android. If your phone or tablet will not accept it (for example, an iPhone, an iPad or an older Android), use the web forms instead. They work in any web browser on a phone, tablet or computer, with nothing to install. Choose your language at the top of the form.
Open each form directly, or find them on the GVF page under Observe and record, Web forms:
4. Common mistakes
| Mistake | What happens |
|---|---|
| Wrong Site ID | TVNI corrects the Site ID so the record joins the right site. |
| Same record sent twice | TVNI keeps one copy and deletes the other. |
| Wrong email address | TVNI corrects it so you receive replies and results. |
| Wrong number, unit or answer | TVNI corrects the item you name, for example a harvest weight entered in grams instead of kilograms. |
| Forgot the photos | Nothing to correct: send the photos with the GVF Photo Upload form and your Site ID. |
Why can’t I change it myself?
GVF forms open without a username or password, so that anyone can take part. The other side of this is that, once a record is sent, only TVNI can change or delete it. This also keeps the data safe from accidental changes.
